We are seeking a Japanese-English bilingual administrative support contractor to provide comprehensive support to Japanese staffs, expatriates, and visiting executives so that they can work effectively and focus on their core business responsibilities in the United States.
This role provides day-to-day administrative, communication, coordination, translation, and interpretation support. The position will also assist with selected officer-related assignments and general administrative tasks based on business needs.
The ideal candidate is service-oriented, highly organized, culturally aware, and able to communicate professionally in both Japanese and English. This position requires flexibility, discretion, responsiveness, and the ability to manage multiple priorities in a fast-paced, multicultural manufacturing environment.
What you’ll be doing
- Provide day-to-day administrative and coordination support for Japaneseteam members, expatriates, and visiting executives.
- Support Japanese expatriates and their families with general coordination related to working and living in the United States.
- Assist with onboarding, relocation, and general coordination for Japanese expatriates and their families.
- Provide Japanese-English interpretation support for meetings, discussions, plant activities, administrative matters, and other business-related situations.
- Provide Japanese-English translation support for documents, communications, presentations, and other materials as needed.
- Coordinate with internal departments and external service providers as needed.
- Support selected officer-related assignments, including research, coordination, document preparation, follow-up, and other special projects.
- Provide general administrative support, including preparing documents, organizing information, tracking open items, scheduling meetings, and maintaining accurate records.
- Help improve standard work, FAQs, manuals, and support processes to improve efficiency and consistency.
Qualifications:
- Proficiency in Japanese and English, both written and spoken.
- Strong communication and interpersonal skills.
- Strong organizational skills, attention to detail, and follow-up capability.
- Strong service mindset and ability to support people with patience and professionalism.
- Ability to respond quickly, prioritize tasks, and manage multiple requests in a fast-paced environment.
- Ability to handle confidential and sensitive information with discretion.
- Proficiency in Microsoft Office applications, especially Outlook, Word, PowerPoint, and Excel.
- Ability to work collaboratively in a multicultural team environment.
- Flexibility and willingness to support a wide range of administrative and business needs.
Bonus points if you have:
- Previous experience supporting Japanese expatriates, Japanese-speaking employees, or multicultural teams.
- Experience in administrative support, executive support, or customer service.
- Experience or familiarity with manufacturing environments.
- Knowledge of Toyota Production System or Toyota’s way of working.
- Familiarity with Mississippi, Tupelo, Blue Springs, or the surrounding local community.
